privacy policy
Last updated: August 2026
GH Dance Academy takes the privacy of our pupils and families seriously. This policy explains what personal information we collect, why we need it, how we keep it safe, and your rights.
We follow UK data protection law, including the UK GDPR and Data Protection Act 2018.
What information do we collect?
When a pupil joins GH Dance Academy, we may collect:
-
pupil's name and date of birth;
-
parent/guardian name and contact details;
-
address and emergency contact details;
-
class and attendance information;
-
payment records;
-
relevant medical information, allergies, injuries or additional needs;
-
information needed for safeguarding;
-

-
photographs or videos where appropriate; and
-
communications you have with us.
Our website may also collect technical information through cookies and similar technologies.
We only collect information we reasonably need to run the Academy and provide our services safely.
Why do we use your information?
We use personal information to:
-
register pupils and manage classes;
-
communicate with parents and guardians;
-
manage attendance and payments;
-
organise shows, examinations, competitions and events;
-
support pupils with medical or additional needs;
-
keep pupils safe and meet our safeguarding responsibilities;
-
deal with enquiries and complaints;
-
maintain necessary financial, insurance and business records; and
-
meet our legal obligations.
Under data protection law, we must have a lawful reason for using personal information. Depending on the circumstances, we rely on contract, legal obligation, legitimate interests or consent.
Children's information
Most of the people attending GH Dance Academy are children, so we take particular care with their personal information.
Information about younger pupils will normally be provided by their parent or guardian. We only collect information we reasonably need to provide our classes and look after the child's safety and wellbeing.
Children also have rights over their own personal information. As a child becomes old enough to understand these rights, we will take their views and privacy into account.
Medical information
We may collect relevant information about a pupil's health, allergies, injuries, medication, disabilities or additional needs where this helps us provide a safe and appropriate environment.
Health information has additional protection under data protection law. We only use it where we have a lawful reason to do so and restrict access to people who genuinely need the information.
Parents and guardians should tell us if relevant medical information changes.
Membermeister
We use Membermeister to help manage pupil registration, enrolment, classes and other Academy administration.
Information provided when registering with GH Dance Academy may therefore be stored and processed through Membermeister.
Parents and guardians are responsible for ensuring the information they provide is accurate and kept up to date.
Photographs and videos
We may take photographs or videos during classes, shows, performances and other GH Dance Academy activities.
We use a separate Photography and Video Consent process for promotional use. Parents and guardians can choose Yes or No.
Where permission has been given, photographs or videos may be used on our website, social media, advertising or other GH Dance Academy promotional material.
If we are relying on consent, you can withdraw that consent for future use by contacting us.
Who do we share information with?
We do not sell personal information.
Where necessary, information may be shared with:
-
Membermeister;
-
Wix, which hosts our website;
-
GH Dance Academy teachers and authorised staff;
-
examination or awarding organisations;
-
competition, performance or event organisers;
-
banking and payment providers;
-
accountants, insurers and professional advisers; and
-
emergency services, safeguarding organisations, local authorities or the police where necessary.
We only share information where there is a genuine reason to do so and limit what is shared to what is necessary.
Some of the technology providers we use may process information outside the UK. Where this happens, appropriate data protection safeguards must be in place.
Safeguarding
There may be occasions when we need to share information to protect a child or another person.
Where necessary, relevant information may be shared with children's services, the police, emergency services or another appropriate safeguarding organisation without seeking consent first where the law allows or requires this.
Please see our Safeguarding and Child Protection Policy for further information.
How long do we keep information?
We only keep personal information for as long as we reasonably need it.
How long information is kept depends on what it is and why we hold it. Some financial, safeguarding, insurance or legal records may need to be retained for longer than normal pupil administration records.
When information is no longer required, we will securely delete, destroy or anonymise it where appropriate.
How do we keep information safe?
We take reasonable steps to protect personal information against loss, misuse or unauthorised access.
Access to personal information is limited to people who need it to carry out their role.
Your rights
Data protection law gives you a number of rights over your personal information. Depending on the circumstances, these include the right to:
-
see the information we hold about you;
-
have incorrect information corrected;
-
ask for information to be deleted in certain circumstances;
-
ask us to restrict how information is used;
-
object to certain uses of your information; and
-
withdraw consent where we are relying on consent.
These rights also apply to children, although a parent or guardian will often exercise them on behalf of a younger child.
If you would like to exercise any of these rights, please contact us.
